Thank you for choosing the West End Tower at Vanderbilt University. We look forward to welcoming your distinguished guest to campus. Please completed the below booking inquiry and within 48 hours we will confirm or deny your booking request.  In the event of your inquiry getting denied, our Guest Relations Manager, Justin Walters, will reach out directly.     *Reservations are on a first come first serve basis.
    *It is the responsibility of the guest/visiting scholar to contact the property manager prior to arrival to arrange for keys and tower access.

    Parking 

    Overnight parking for guests of  the tower is permitted in the 2525 garage located behind the Vanderbilt Bookstore on Kensington Place. Each vehicle will need to be registered using the garage QR code or downloading the Metropolis.io app prior to arrival(note this does require a credit card set up) A dedicated spot will be assigned to the guest 1 day prior to arrival. Vehicles that are not parked in their designated spot are subject to tow at owners expense. Parking rate is $15/day.

    West End Tower Lodging Agreement
    This Agreement is entered by and between Vanderbilt University (hereinafter referred to as “Vanderbilt”) and Internal Department, College, or University subsidiary. Whereas, Vanderbilt owns and operates the West End Tower on Vanderbilt’s campus. Rooms in the Tower are made available to visiting guests in connection with services rendered by such guests on campus; Now Therefore, Vanderbilt and Guest agree that Guest may use a room in the West End Tower as accommodations for the duration of Guest’s stay at Vanderbilt under the following terms, conditions, and considerations:

    Description of Lodging  
    Vanderbilt will provide Guest with a residential room located in the West End Tower, 2417 West End Avenue, Nashville, TN. 37240. Rooms consist of TV, Wi-Fi, bathroom, bedroom, coffee maker, microwave, refrigerator, iron, ironing board, bath towels, kitchen towels, paper towels, toilet paper, and linens. Guest shall have access to only the West End Tower lobby, Guest’s Room, and shared meeting spaces on the 15th and 17th floors of the West End Tower, when available. In no case shall Guest enter Zeppos Residential College or any other campus residential space other than the West End Tower, except as necessary to access campus dining facilities. Access to academic spaces is the responsibility of the host department/unit. Guest is not permitted to host any events or gatherings in Guest’s room. This prohibition applies to all unapproved individuals, including Vanderbilt faculty, staff, students, and the general public. Any additional individuals wishing to stay in or otherwise visit Guest’s room, including family members, must be approved by Vanderbilt Auxiliary Services in writing. Pets, other than service animals, are not permitted. The West End Tower, as well as Vanderbilt’s campus generally, is strictly non-smoking except for designated outdoor smoking areas.

    Arrival and Departure  
    Check-in time for Guest will be coordinated with Vanderbilt University team member. Photo ID may be required to verify Guest’s identity. Unavoidable delays may occur and there is a possibility Guest’s room may not be ready at designated check-in time, Guest’s patience is appreciated. If Guest is unable to check-in at the time specified by Vanderbilt University, Guest is encouraged to make alternative pick-up arrangements with the host department.
    Check-out is by 11 am on the date of departure. Due to staffing schedules, Vanderbilt is unable to accommodate late check-out without advance approval. Guest must return all access credentials, parking passes, and other items specific to stay prior to departure, or otherwise make arrangements with the host department/unit.

    Room Entry  
    Rooms will be cleaned once a week, towels will be replenished once a week, and bed linens will be refreshed once a week. Vanderbilt also reserves the right to enter a Guest’s room under the following circumstances:

    * Maintenance and custodial services requested by the occupant(s) or Vanderbilt personnel is being performed;
    * Routine inspection of rooms for safety, health, and general upkeep purposes or if maintenance is performed;
    * There is perceived imminent risk to safety, health, and/or occupant(s) or institutional property;
    * There is reasonable suspicion that a Vanderbilt policy is being violated;
    * Turning off an alarm, loud music, or loud TV when residents are not present; or
    * There is a search warrant being carried out by a member of law enforcement.

    Compliance with Local Laws  
    Guest agrees to observe and comply with all restrictions, laws and ordinances affecting the Premises or occupancy thereof. Guest further agrees that no use shall be made of the Premises, or acts done which will increase the existing rate of insurance upon the Premises, or will cause a cancellation of any insurance policy covering the Premises. Guest agrees to comply with all rules and guidance provided by Vanderbilt regarding COVID-19 or any other public health concerns.

    Liability  
    Guest may not behave in an unsafe, careless or negligent manner while on Vanderbilt property or facilities, or while entering or leaving said property or facilities. Guest accepts responsibility for Guest’s acts and omissions promises to reimburse Vanderbilt for any damages to Vanderbilt property caused by Guest. Accordingly, Guest hereby releases, relieves, discharges, indemnifies and holds harmless Vanderbilt, its officers, trustees, employees, agents and representatives, from any and all liability or claim of liability, whether for personal injury, property damage, or otherwise, arising out of or in connection with Guest’s access to and use of any Vanderbilt’s property, except in the event that such liability or claim of liability arises out of the proven negligence of Vanderbilt. Guest understands that the premises are being made available for the intended purpose on the condition that Guest’s presence and activities will not unduly interfere with or disrupt the normal operations of Vanderbilt and the normal users of the premises. Guest at all times agrees to adhere to all rules, regulations and policies of Vanderbilt, and to follow all directions and instructions of Vanderbilt officials, including personnel of Auxiliary Services, Vanderbilt Police, or other designees. Vanderbilt is not responsible for any loss or damage to personal possessions and clothing of Guest resulting from any cause whatsoever, including but not limited to fire, water damage, or theft.

    Non-Discrimination In compliance with federal and state law, the parties to this Agreement shall not discriminate against any person based on race, sex, gender, religion, color, creed, national or ethnic origin, disability, age, or military service. In addition, neither shall discriminate based on sexual orientation.

    Governing Law  This Agreement shall be governed by and construed in accordance with the laws of the State of Tennessee and any action brought in regard to this Agreement shall be brought in Nashville, Davidson County, Tennessee. If any provision of this Agreement is determined by a court of competent jurisdiction to be unenforceable, the unenforceability of such provision shall not affect the enforceability of the remaining provisions, and the rights and responsibilities of the parties shall be construed and enforced as if the Agreement did not contain the unenforceable provisions.
    Revocation of Access  
    Vanderbilt reserves the right to revoke campus privileges, including permission for Guest to reside in Vanderbilt housing or to enter upon Vanderbilt property, if Guest violates any of Vanderbilt’s rules or regulations or if the Guest’s conduct becomes, in Vanderbilt’s opinion, disruptive to the residential community or the orderly processes of Vanderbilt, or creates a concern to Vanderbilt about the health and safety of the participant, others or property on Vanderbilt’s campus.

    Entire Agreement  This Agreement represents the entire agreement and understanding of Vanderbilt and the Organization and supersedes any prior understanding or agreement. This Agreement cannot be altered, modified, or supplemented without the signed written agreement of both parties.
